Delivery & Delivery Groups

Use Delivery to manage how participants will get their merchandise and/ or event packs - some examples could be Pickup at the event, Urban Delivery or Rural Delivery. .

  • Delivery option at checkout - Participants choose their delivery option(s) whenever their order includes a merchandise item and/or registration that has Delivery enabled.
  • Multiple delivery options - could be presented at the checkout if they are purchasing items which are being dispatched separately.
  • Additional purchases - If the participant registers for subsequent events for themselves or anyone else or buys more merchandise later, they can either be prompted to select a delivery option for the new item(s) - setting which determines if they need tio pay again or not (dependng if the initial items have been sent already).
  • Record dispatch - Keep track of what’s been dispatched.

Before You Get Started

  1. Decide if you want to manage postage for event packs and / or merchandise
  2. Decide which items you wish to allow to postage
  3. Determine if these will be posted by the same provider (in the same package) or separately.
  4. Create a delivery group for each postage provider.
  5. Link delivery group(s) to your merchandise and/or categories.
  6. Keep an eye on your deliveries Viewing Participant Details
  7. Record delivered (optional, but a good idea).

Setup Delivery Groups

Delivery groups allow you to group products and/or registration categories that are included in the same delivery group e.g. all tshirts options are posted by the same provider and define postage costs.

Setup › Merchandise › Delivery Groups

General Tab

Set the following:

  • Name e.g. Merchandise, or Race Pack
  • Active - Check to Activate or uncheck to hide the group from checkout.
  • Combine Delivery - Choose if additional purchases will incur a new cost or be incorporated with the existing delivery (as long as it hasn’t been sent already)

Add Delivery Options

Participants choose from the options you enable.

By default, a placeholder option “To be arranged” is shown if the group is active but has no other options. This will only be displayed if the group is “Active” with no other options available.
Example options:

  • Pickup – $0
  • Urban – $10
  • Rural – $15
Field Description

Require delivery address Enforces address entry (disable where no posting is required, e.g. pickup)
Available from / to Date range when the option can be selected. Useful for setting a postage cut-off time.

Products Tab

The products are displayed via this tab - however they are added directly via the products themselves.

  1. Edit the merchandise item.
  2. Go to the Delivery tab.
  3. Select the appropriate delivery group.

Products sharing a group:

  • Will be sent together
  • Share the same delivery cost
  • Uses the delivery group option selected to determine if a delivery address is required.

Identifiers Tab [bib numbers, event packs etc)

Manage any unique participant identifiers you plan to send out—whether it’s race bibs, festival wristbands, membership cards, or custom event packs.

  • Enable in Settings: Turn on “Use for Identifiers” if these items will be dispatched in advance.
  • Category Control: Apply to specific categories or to all categories as needed.
  • Mandatory Delivery Choice: Registrations in the selected category(ies) must choose a delivery option—even if a number or code hasn’t been assigned yet.

Note:

  • When multiple registrations are made in a single order, the delivery charge is applied once.
  • If participants add more registrations later, they’ll be prompted to select a delivery option again.

Participant Experience

The delivery option(s) are displayed as
Delivery : [delivery groupname]

You can change the word “Delivery” via Setup > Event > Text Customise

A prompt will be shown at checkout if the delivery option requires an address.

Viewing Delivery Details

You can view and manage all delivery information for event registrations or merchandise purchases.

Orders › Deliveries

  • Each row represents a single delivery checkout.
  • Click › to expand and see the included items.
  • If the same account purchases additional items at a later time, each checkout appears as a separate row.
  • Use filters to narrow down results by Delivery Group and Delivery Option.
  • Only deliveries with a paid delivery charge are displayed.

Dispatching Items

Recording items as dispatched:

  1. Click the Delivery icon at the end of the row.
  2. Add an optional note if needed.
  3. Click “Dispatch Items.”

The delivery is then moved to the Dispatched list, automatically recording the EventPlus user, date and time, and any dispatch notes.

Viewing Registration Details

The Registrations > Paid list now has a column to display the Delivery option.

On the participant order:

  • Click the pencil icon next to a delivery item to change the option
  • If the new option requires an address and none is stored, you’ll be prompted to enter one.
  • The charge defaults to the new delivery option’s price:
  • Higher cost → participant pays the difference.
  • Lower cost → a credit is created.
  • Alternatively you can adjust the price to match whatever the original price was if you don’t want to apply a charge or refund.

Recording Delivery

Delivery can be recorded by clicking the delivery icon on the Delivery List.
You can optionally add a note.
Once an item is recorded as delivered, it is removed from the Delivery List and instead appears on the Dispatches list.
The delivery date and time are automatically recorded.

Category Changes

If the participant changes category, and the new category;

  • shares the same delivery group and the delivery option is still available, the registration will remain unchanged - still associated with the original delivery option.
  • shares the same delivery group, but the chosen delivery option is no longer available. no delivery option set.

does not use the same delivery group, no delivery option set.

Merchandise Changes

Merchandise changes such as changing the options (e.g. Size) won’t make a difference to the delivery arrangements.

If new merchandise is added via the dashboard it won’t be assigned to a delivery option.

If the participant adds additional merchandise themselves, of which a delivery option exists for they will be presented with the option of selecting their delivery option again.

Delivery Reports

Use built-in or create your own custom reports:

Registration Report Incl. Delivery - (Report id 5)

This report:

  • Based on the Registration reporting object.
  • Filters/Conditions are: Registration Active and Paid
  • Columns shown: Name, Email, DOB, Sex, Identifier (e.g. Bib/Race No), Category, Division, Order Payment Status, Order Balance, Delivery Option, Delivery Address

Note: The Payment Status column in this report relates to the Order. Because the registration itself appears on this list indicates that it has been paid. Good idea to take a look at this.

Merchandise Report (Report id 10)

This report:

  • Lists one row per merchandise item purchased;
  • Based on the Order item reporting object;
  • Delivery Group options have been added to this existing report.
