Email Notifications

When a participant registers for an event, or purchases from a store email notifications are set. The notifications can be customised.

The email notifications are setup in the dashboard:
Setup > Notifications

Order Confirmation

The order confirmation email is sent to the account owner - the person responsible for paying for registrations and/or products. In most cases, the default email content is sufficient unless you would like to add extra event-specific information.

Send an order confirmation email when the order is paid? [CHECKBOX]
If enabled, an order confirmation email will be sent when payment is made, or when payment is still required. In most cases, this should be enabled.

Only show new order items when additional purchases are made? [CHECKBOX]
If enabled, only the new items from an additional purchase will be shown in the email, rather than the full order.

Header Text
Appears at the very top of the order email. This is a good place for business details such as your organisation name, contact details, or GST number. If you would like help formatting this section, please contact the eventplus team at help@eventplus.net

Body Text
This appears in the top section of the email, above the financial line items.

Payment Instructions
Only appears if the order is unpaid. Use this section to include payment details such as bank account information. This is especially important if you allow payment by internet banking or bank transfer.

Footer Text
Appears below the financial line items. This can be used for any additional notes, reminders, or contact details.

Registration Confirmation

The registration confirmation email is sent to each participant when their registration is completed. This email is typically used to welcome participants and provide any important event information.

Send a registration confirmation email when the registration is paid? [CHECKBOX]
If enabled, a confirmation email will be sent once the registration is completed (or when payment is confirmed, depending on setup). This is usually recommended.

Email Subject
This is the subject line of the email the participant will receive. Keep it clear and recognisable, e.g. “Welcome to [Event Name]”.

Welcome Text
Appears at the top of the email. Use this to thank participants for registering and share key details such as event overview, what to expect, or next steps.

Footer Text
Appears at the bottom of the email. Typically used for contact details, links to your website, or a friendly sign-off.

Show category name only, hide run name [CHECKBOX]
If enabled, only the category name will be shown (useful if run names are not relevant or may cause confusion).

Show date of birth
Choose whether to display the participant’s date of birth or age in the confirmation email.

Show registrant gender or sex [CHECKBOX]
If enabled, the participant’s gender or sex will be included in the email (if collected during registration).

Show a QR code for each registration [CHECKBOX]
If enabled, a QR code will be included for each registration. This can be used for check-in event day scanning.

QR code format
Choose between eventplus secure format or Custom format.

  • Eventplus secure format - Use this when scanning QR codes within Eventplus (e.g. check-in via the Eventplus app). This ensures the code is secure and works seamlessly with the platform.
  • Custom format - Use this when QR codes will be scanned by an external system. You can define the data fields to include, such as [FirstName], [LastName], or other registration details.

Team Invite

If the event has teams categories configured which team invites are being enabled - a standard team invitation is sent. If you want to send a different email you can update the text here.

Team Reminder Emails

This event has teams categories configured. You can configure reminder emails to be sent to the team captain if the team does not have the minimum required members.

Email Appearance

Set email appearance options for all email types.

Email Copies

Configure which registrant emails should also be copied to the event email address.

Unpaid Notifications

Set up automatic email notifications for unpaid orders, including optional automatic withdrawal if not paid with a specified time.
